Understand sync progress

Check imports, distinguish connection problems from sync failures, and choose the available recovery action.

Open Apps from the workspace menu, or Settings → Apps, then select the installed connection in the organization you want to inspect. For Planning Center, open Connections and review the Planning Center apps rows' Status and Last sync. The connection summary also shows its status, last finished sync, and enabled-app count. An active connection is not proof that every app has completed its latest import.

You can read connection details with view integrations or manage integrations access. Manual sync, cancellation, reconnection, and app changes require manage integrations (integrations.manage).

Read the state before acting

What you seeWhat to check
Active connectionReview the individual apps and their latest runs for data freshness.
Not enabled appAn integrations manager can use Enable or Edit apps to review the authorized apps.
Disabled connection or Paused appNew imports are paused. An integrations manager can enable the connection again.
Needs reconnectCredentials or authorization need attention. An integrations manager should review the notice and reconnect.
Error, Pending, or InactiveThe connection is not active; sync controls are unavailable. Record the connection, app, and state for support.
Last sync failed, or Sync failed … in a status lineCheck Activity for the failed or timed-out run and its time. A failed run does not confirm refreshed data.
Not synced yetNo last-run result is available yet. Check whether an import has started and review source access.
Synced or CanceledReview the run's time and result; canceled work can leave data already imported.
SyncingLet it finish, or use an available cancellation action if the work needs to stop.

Home can appear among Planning Center apps but has no separate data sync. An enabled app without imported records can also reflect empty source data, source permissions, or an import still in progress.

Request a manual refresh

Use the refresh icon on the relevant Planning Center app row, labelled Sync People, Sync Giving, or the corresponding app name. Its options menu also offers Sync now. Sync all at the top requests a refresh of all enabled apps that support syncing. Use Sync all on the Church Metrics page to refresh that connection. These actions request new sync work; they do not make the latest source data available immediately.

Wait for the running state to finish, then check the result and Last sync. The time depends on the source, data volume, and work already running. Parable schedules recurring imports, but there is no fixed completion-time promise. Do not assume a connection imports every record at midnight or only overnight.

For a Planning Center list, refreshing its audience is a separate workflow: check list freshness in People. An old list snapshot must first be refreshed in Planning Center.

Recover from missing or outdated data

  1. Check the selected organization and the intended source connection.
  2. Confirm the relevant app is connected and enabled.
  3. Read any authorization notice. Use Reconnect when it is available and credentials require it. For Planning Center, use the same intended account and review its app access.
  4. If the latest sync failed, open Activity. Filter to the app or select View activity from that app's options menu. Runs show Started, Apps, Status, and Duration; expand a run when it has recorded per-app results. Note the failed state and time for your manager or support.
  5. If ordinary refresh does not resolve missing or outdated information, review Resync all People data (or the corresponding app name) in that app's options menu. Resync all data in Planning Center options covers the whole connection.

Either resync re-downloads data instead of just recent changes; the selected action determines whether it covers one app or the whole connection. Read the confirmation and allow time for the larger import. Resyncing is a different action from reconnecting credentials.

If a Church Metrics personal API key was revoked or rotated, open the connection's Settings tab and select Update credentials under API credentials. Enter an account email and key from the same Church Metrics organization, then select Save credentials. Enabling a disabled integration does not replace its key. The connection's options also offer Resync all data when a full import is needed.

Mailchimp shows its own connection and health notices. A delayed sync can leave last-known observations visible; those observations do not prove a successful current refresh. For Clearstream, review its reconnection result, incoming-message webhook setup and account links. Pushpay, when available, has its own sync and reconnection controls. These providers do not use the Planning Center app-row controls.

Stop running work when necessary

Where offered, use Cancel sync in the selected app's options menu or Cancel all syncs for the integration's running work. An app cancellation is offered for its own run; use the integration-wide action during a full sync. Read and confirm the action. A cancellation request is not confirmation that all work has already stopped or rolled back. Check the resulting state before starting a replacement import.

To pause new Planning Center imports, use Disable in its options menu or its Settings tab → Danger zone. Existing synced data remains available; disabling and cancelling a running sync are separate actions.

Review workspace sync status

Settings → Sync shows integration status, last-sync times, and Recent activity across the workspace. An integrations manager can use an eligible connection's Sync action or Sync all integrations. These request new work; review the resulting runs before assuming data is refreshed.

Opening this settings page requires view data (data.view). Its connection list also requires view integrations or manage integrations access; Mailchimp's details require management access. A permission or loading notice does not mean the workspace has no integrations.

Keep validation settings separate

For an installed Planning Center connection, open its Settings tab and review Sync validation: Validate imports, Drift tolerance, Stop on page mismatch, Stop on drift, and Reset to defaults. The Planning Center validation section in Settings → Sync links there with Open settings. If its integration list cannot be read, that settings page can show validation directly instead.

Reading validation requires view data (data.view); changing or resetting it requires manage integrations. Opening the integration itself also requires integration-view or management access. These are advanced checks on incoming data consistency, not scheduling controls. Review a validation failure before weakening a check to make a sync pass.

If the issue persists, share the connection name, app, failed state, and time with support. Keep API keys, passwords, webhook authentication keys, and connection strings out of screenshots.
