Manage your team

Invite members, review pending invitations, and manage organization roles and giving access.

Use Settings → Team to invite staff and manage their organization roles. You need the manage users permission for the organization. Read Access, roles, and giving permissions before choosing access for someone else.

Before you begin

  • Confirm the organization whose team you want to manage. Access changes apply to that organization.
  • Decide which available organization role the person needs.
  • Decide whether their work requires giving data. Invitations default to None.
  • Check your own giving access before granting Summary or Full; you cannot grant a level above your own.

If Team is unavailable or the page reports insufficient permissions, ask an authorized manager to help. A direct link does not bypass this requirement.

Invite a member

Open Team

Open Settings → Team in the intended organization, then select Invite members.

Add email addresses

Enter each person's email address. Press Enter or a comma to add it. You can add several addresses and optionally enter first and last names for each person.

Choose a role

Select an available organization role from Role. The same role applies to everyone in this invitation batch. Use separate batches when people need different roles.

Choose giving access

Review Giving data access. Leave None for someone who does not need giving data, or deliberately select Summary or Full when appropriate. This choice also applies to the whole batch. Changing the role leaves the giving choice unchanged.

Send the invitations

Select Send invitation or Send invitations. If some invitations fail, review the result for each address and use Retry failed to retry the unsuccessful ones. Successful invitations do not need to be sent again.

An invitation appears as pending while it waits for acceptance. The person's organization membership and access are established through the acceptance flow. Sending an invitation is not evidence that the recipient has joined.

Review pending invitations

Open the Invitations tab on Team. It shows pending invitations, their organization roles or Connections access tiers, and expiry dates. The pending giving level is not displayed in this tab; confirm the intended level with the inviter if you need to check it.

Invitations sent from Settings → Connections also appear here, labelled Connections · followed by their access tier. To change one, revoke it and send a new invitation from Settings → Connections.

  • Confirm the email address before following up with the recipient.
  • Before the invitation expires, use its menu to Edit name if its optional profile name needs correction.
  • To withdraw an invitation, use Revoke invitation. Revocation prevents that pending invitation from being used to join.
  • If the list cannot be loaded, use Try again. A failed request is different from the No pending invitations state.

An expired invitation cannot be accepted. If the person still needs access, send a new invitation from the settings page used for the original invitation. For invitations sent from Team, there is no action to edit the pending role or giving level. Revoke the invitation and send a new one from Team with the intended role and giving level.

Grant an organization role

  1. Open the Members tab and search by the member's name or email.
  2. Open the member's row menu and select Manage Roles.
  3. Review Current Roles.
  4. Under Grant New Role, choose an available role the member does not already hold, then select Grant.

The member can hold multiple organization roles. Adding a role does not replace all their existing roles. Review the combined access before adding another role.

Revoke an organization role

In Manage Roles, find the role under Current Roles and use its remove control. Wait for the Role revoked confirmation, then review the remaining roles.

The owner role has no remove control and cannot be revoked through ordinary Team role management. The role selector also does not offer ownership, platform roles, Connections roles, or roles that are no longer assignable.

Revoking one role removes the access supplied by that role. Other roles and separate access grants may still allow the person to perform an action. Revocation does not remove their organization membership.

Change giving access

  1. Open the member's Manage Roles dialog.
  2. Find Giving Data Access and review the current level.
  3. Choose None, Summary, or Full, then select Save.
  4. Wait for Giving access updated and confirm the displayed level.

This is a separate save from granting or revoking a role. It does not replace the member's organization roles or Connections access.

You cannot change your own giving access or grant a higher giving level than you hold. Organization ownership carries Full giving access. If an action is refused, ask another authorized manager with sufficient access to make it.

If lowering giving access or revoking a role makes the member ineligible for external database access, Parable also revokes their existing database credentials. Plan for that change before updating access.

Team roles and Connections

Manage Connections access in Settings → Connections. Its access tiers and person/group scope are separate from the organization-role catalogue. Review both when a staff member needs organization-wide work and a scoped care workflow.

The Team menu's Remove from Organization item currently directs you to Platform Administration; it does not complete a removal from this page. Contact support if you need help removing membership. Role revocation and membership removal are separate operations.
