Enrolling People

Triggers, manual enrolment, re-entry rules, and how to read the Recipients tab.

Enrolling someone starts their run through a sequence. From that moment they have their own position in the thread: their start delay runs from when they entered, not from when anyone else did.

Who Enters a Sequence

Every sequence has one trigger, fixed when it is created. New sequence creates a manual sequence. The rail's Enrollment section shows its trigger and re-entry rule; neither is editable there. Existing sequences may use the other triggers below.

This editor does not create sequences with automatic triggers. The table describes the triggers you may see on an existing sequence.

The giving triggers use the same donor behaviour the giving stages describe, so a person who reaches New Donor is the person a First gift sequence enrolls.

Enrolling by Hand

Not available yet. Enrolling people, like publishing, arrives with the campaigns engine. The Enroll recipients button is drawn in the editor today but stays inactive, and the modal described below is what it opens once the engine ships.

Enroll recipients at the top of the editor opens the enrolment modal. It becomes available once the sequence has been published at least once — enrolments run the published sequence — and it works for any sequence, whatever its trigger: a triggered sequence can still take people you add yourself. Enrolling requires organization administrator access.

The modal shows you what you are about to do before you do it:

  • the sequence you are enrolling into
  • the sender — the sender name and reply-to set for this sequence
  • the first email, exactly as it currently reads in the draft
  • recipients, chosen one of two ways

Choosing Recipients

Pick either individual people or a segment, not both.

  • People — start typing a name in the Recipients box and add the matches you want. Selected people appear as chips you can remove.
  • A segment — choose a saved segment from Or enroll a segment. Only segments that have finished building and have no invalid conditions appear in the list.

The footer counts the real blast radius: This will enroll N people. That number is what would actually be enrolled after unsubscribed addresses are removed and the re-entry rule is applied — so it is often smaller than the number of people you picked. Nothing is enrolled until you press Enroll recipients (or ⌘↵).

Enrolling a segment enrolls the people in it at that moment. It is not a standing rule. To enroll people as they join a segment, use the Enters a segment trigger instead.

Re-entry

Each sequence sets one of two rules, shown in the rail under the trigger:

  • A person can enter once. Once they have been enrolled, they will not be enrolled again — not by the trigger, not by hand.
  • A person can enter again after finishing. They can start a fresh run once their previous one has ended.

Either way, a person is never in two runs of the same sequence at the same time.

Someone who has unsubscribed is never re-enrolled, in this or any other sequence, until they are removed from your suppression list.

The Recipients Tab

The Recipients tab is the list of everyone who has been in the sequence, with their current state, and a per-person timeline.

Filter the list by All, Active, Completed, or Exited. Each row shows the person, the step they are at, and their status:

Insights

Three tiles sit under the list, in this order:

  • Active — how many are still running, and what share of Enrolled that is.
  • Enrolled — everyone who has ever entered. This is the base the other two are measured against.
  • Exited — how many left early, and what share of Enrolled that is.

The Per-Person Timeline

Select someone to see their run in order:

  • Entered the sequence, with the date
  • Step N sent, with the date and whether they Clicked or had No click
  • Exited, with the date and the reason, when they left early

Clicks are the headline, not opens. Apple's Mail Privacy Protection registers an open for most Apple Mail recipients whether or not a person read anything, so an open is weak evidence and a click is strong evidence.
